About the job

Position Description

Purpose: The Proposal Coordinator will be responsible for the development and production of proposals and statements of qualifications in response to public agency procurement solicitations. This position requires strong organizational skills, writing and proofreading abilities (technical writing experience a plus), coordination with different teams and outside partners, and the ability to multi-task and handle multiple deadlines.

Essential Duties & Responsibilities

  • Prepare responsive, high-quality proposals and qualifications packages using programs including Adobe InDesign, Microsoft Word and Adobe Acrobat.
  • Schedule proposal kick-off meetings, PM reviews, and Red Team Reviews.
  • Prepare a proposal checklist to assign tasks during the proposal kick-off.
  • Coordinate with internal staff and external teaming partners (subcontractors) to provide materials requested in RFPs (Requests for Proposals) and RFQs (Requests for Qualifications).
  • Customize staff resumes, project descriptions, firm capability summaries and other requested proposal materials.
  • Proofread, edit, and format technical writing for spelling and grammar.
  • Manage proposal schedules and meet internal and external (client) deadlines.
  • Produce proposals in-house (print, assemble and bind), or utilize outsize source.
  • Create presentations for interviews and conferences using PowerPoint, Adobe InDesign and/or Adobe Acrobat.
  • Create and maintain a library of marketing files including but not limited to staff resumes, project descriptions, project photos, technical narratives, and other pertinent proposal information.
  • Update and maintain proposal information in CRM database (Cosential).
  • Support the business development team: coordinate client appreciation gifts/events, handle ticketing requests and ensure suite orders placed by catering deadline for Golden 1 events (Construction Division), take meeting minutes/action items and follow-up for biweekly meetings.

Job Qualifications & Requirements

Education: Bachelor’s degree in Marketing, Business Administration, or equivalent

Experience & Industry Expertise: Minimum of 3+ years of experience in proposal writing in the construction, engineering or architectural industries, or equivalent combination of technical training and related experience.

Specific Job Requirements

  • Successful completion of pre-employment drug, alcohol, and background investigation.
  • Valid Driver’s License.
  • Ability to preserve confidential and proprietary information and successfully avoid conflicts-of-interest.
  • Strong understanding of the construction industry, particularly in infrastructure/heavy construction.
  • Excellent writing, editing and communication skills.
  • Ability to plan and manage projects.
  • Proficiency in Microsoft Office programs (Word, PowerPoint, and Excel).
  • Proficiency in Adobe InDesign, Photoshop and Acrobat).
  • Ability to create and use graphics to enhance written content and presentations.
  • Ability to work on multiple deadlines in a fast-paced environment.
  • Ability to coordinate and work with multiple project managers and stakeholders.
  • Ability to create and manage production schedules.
  • Commitment to high quality work and a strong attention to detail.
  • Strong focus on customer satisfaction.
  • Strong time management skills.
  • Occasional overnight travel.

  • Physical: Sitting for long periods of time working at the computer or driving to job sites. Job site visits require walking on uneven ground, climbing, bending, stooping, crawling in confined or enclosed spaces. Some lifting of materials and equipment up to 50 lbs. Close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. May work long hours during peak seasons.
  • Work Environment: Exposed to the conditions of job sites which can include loud noise, dust, fumes, and extreme weather conditions prevalent at the time. May work various shifts or hours, including early mornings, dusk or evenings. Typical office environment with adequate temperatures and lighting, low levels of noise.
